How do I assign AI agent licenses to employees?

Updated last monthSara AhlénAsset Management

You can assign AI agent licenses to employees the same way you assign software licenses — individually or in bulk. Each license represents a seat on a specific plan.

Before you begin

You need Admin access to assign licenses. The AI agent service must already be added with at least one plan.

Assign a license

  1. Go to Assets → AI Agents.
  2. Click on the agent to open its detail page.
  3. Go to the Licenses tab.
  4. Click Add License to create a new seat, or find an existing unassigned license.
  5. Click the action menu on an unassigned license.
  6. Select Assign Employee to assign without activating, or Provision to assign and activate in one step.
  7. Search for and select the employee.

The license is now linked to the employee and visible in their AI Agents tab.

Unassign or deprovision a license

To remove access:

  • Unassign — removes the employee from the license without changing its state. The license stays active and can be reassigned.
  • Deprovision — removes the employee and suspends the license in one step. Use this when the seat should be paused.

Both actions are available from the action menu on any assigned license.

Bulk operations

Select multiple licenses using the checkboxes in the license table, then use the bulk action bar to Assign, Unassign, Deprovision, or Delete in one go.

Good to know

Can employees request AI agents themselves?

Yes. If you have set up AI agents in the Store, employees can browse available agents and request access. Depending on your request policies, access can be granted instantly or require manager/admin approval.

How do costs work?

AI agent costs work exactly like software costs — set at the plan level with flat charge or per-user pricing. Monthly costs are normalised and shown in your company's currency on the agent overview page.

Where does provisioning configuration live?

On the agent's detail page under the Provisioning tab. You can set up Direct API, Workflow, or Manual provisioning — the same options available for software.
