How do I export my data as CSV?

Updated 2 months agoSara AhlénAdmin settings

You do not start an export from Settings. You start it from the list you want, with the filters you want, and Settings → Admin → CSV Exports is where every export lands.

Before you begin

You need Admin access to see the company-wide export list. Exports respect what you can see — a scoped admin exports their scope, not the company.

Start an export

  1. Go to the list you want — Hardware, Software, Software License, AI Agents, Phone Subscription or Store Products.
  2. Filter it down to what you actually need.
  3. Select Export CSV.

The confirmation tells you how many filters are being applied — "Applying 3 active filters." Read it. An export that silently ignored your filters would be the worst possible outcome, so Velory says what it is doing.

Exports run in the background. You get a notification with a link when yours is ready — the file itself is never emailed, and following the link re-checks your access before handing over a short-lived download.

Find an export later

Settings → Admin → CSV Exports lists recent exports across the company, showing entity, who started it, when, status and row count.

The useful detail: any admin can re-download from here, not only whoever started it. Nobody has to forward a CSV, and an export does not become unreachable because the person who ran it is away.

Status

Pending → Processing → Completed, or Failed or Cancelled. A row reading Generating… is still working.

What can be exported

Hardware · Software · Software License · AI Agents · Phone Subscription · Store Products

There is no employee export here; for people, export a group's members instead. Filter by entity or status to find one in a long list.

Delete an export

Delete export removes the record and its downloaded file, and email links to it stop working. It cannot be undone.

That is the right move for an export containing anything sensitive: the file does not sit around indefinitely, and the email link dies with it.

Good to know

Why is an export missing rows I expected?

Two likely causes. The filters on the list when you started it, which the confirmation reported. Or your visibility — exports contain what you can see, so a scoped admin gets their scope.

Can I run two exports at once?

Not of the same record type — you get "An export is already in progress for this view." A hardware export and a software export can run together.

Is there a size limit?

Yes: 100,000 rows or 100 MB. An export that exceeds either stops and shows as Failed, so narrow the filters and run it again.

What does "We couldn't determine which records you can see" mean?

Velory could not resolve your visibility, so it declined to export rather than risk giving you the wrong rows. Narrow the filter and try again, or ask an admin.

Can I export on a schedule?

Not from this page. For programmatic access, use an API token — see How do I create and revoke API tokens?.

Is this how I get data out to move between systems?

For a one-off, yes. Do not assume an export drops straight back into an import — the import flows have their own expected columns, and you should check an export against them rather than trust it to round-trip. See How do I import hardware from a file?.
