How do I view and manage company hardware?

Updated last monthSara AhlénAsset Management

Velory gives you a single view of every device your company owns or leases — laptops, phones, monitors, and more. You can see who has what, track warranty and lease dates, filter by any attribute, and take action on individual devices or in bulk.

Before you begin

You need Admin or Manager access in Velory to view and manage company hardware. Employees can see their own assigned devices in their Personal workspace, but cannot access the full hardware list.

  1. Go to Assets in the navbar.
  2. Click Hardware.

You will see a table listing all hardware in your company.

Understand what you see

The hardware table shows key information about each device at a glance:

ColumnWhat it shows
NameThe device name and an image or category icon
Assigned toThe employee, space, or storage location the device is assigned to — or "Unassigned"
StateThe current operational status, such as In Use, Available for use, Delivered, Lost, or Repair
LifecycleThe high-level stage: Provisioning, Active, or Inactive
ManufacturerThe device manufacturer (e.g. Apple, Lenovo, Dell)
ModelThe specific model name
Serial numberThe device serial number
TypeWhether the device was purchased or leased
PriceThe purchase price or monthly lease amount
TagsAny tags assigned to the device for organisation
Renewal dateWhen the lease or contract is due for renewal
WarrantyWhether the warranty is Active, Expiring soon, Expired, or No warranty

Tip: You can show or hide columns using the column picker in the table toolbar. Additional columns like IMEI, purchase date, date added, and last synced are available but hidden by default. If your company uses custom attributes for hardware, those appear as columns too.

Search and filter devices

Search — Use the search bar at the top to find devices by name, serial number, employee name, manufacturer, or model. Suggestions appear as you type.

Filters — Click the filter icon to open the filter panel. You can filter by:

  • Lifecycle — Provisioning, Active, or Inactive
  • In Storage — devices currently in a storage location
  • MDM status — Enrolled, Not enrolled, or User mismatch
  • MDM provider — filter by specific MDM provider
  • State — specific states grouped by lifecycle phase (e.g. In Use, Available for use, Delivered, Lost, Repair)
  • Acquisition type — Purchase or Lease
  • Category — device type (e.g. Laptop, Phone, Monitor)
  • Department — filter by department
  • Manufacturer — filter by brand
  • Model — filter by model
  • Vendor — filter by vendor/supplier

  • Warranty — Active, Expiring soon, Expired, or No warranty
  • Renewal due — filter by upcoming renewals
  • Custom fields — any custom attributes defined for hardware

Quick views — Use the preset filter tabs at the top of the table to quickly switch between common views: Active, Provisioning, Inactive, In Storage, and Recently added.

Saved filters — After applying a combination of filters, you can save it as a named filter for quick access later.

Take action on devices

Single device actions

Click on any device to open its detail page. From there you can:

  • Edit details — update name, model, serial number, and other fields
  • Change state — mark a device as available, in repair, lost, stolen, or other states
  • Assign or unassign — assign the device to an employee, a shared space, or a storage location

The detail page is organised into tabs:

TabWhat you find there
DetailsDevice info, assignment, tags, custom attributes
FinanceAcquisition type, vendor, price, lease terms, warranty
LifecycleMDM health and utilisation data (only for MDM-managed devices)
SupportLinked helpdesk tickets
NotesPersistent notes visible to the team, plus internal admin-only notes
ActivityFull event log and comments

Bulk actions

To act on multiple devices at once:

  1. Select devices using the checkboxes in the table.
  2. Choose an action from the bulk action bar that appears: Assign to, Assign tags, Unassign, or Delete.

Tip: Use Select all pages to select devices across all pages of the table — useful when you need to bulk-update a filtered set.

Export

Click the Export button in the table toolbar to download the current view as a CSV file. The export respects your active filters, so you can export a specific subset of devices.

Good to know

What is the difference between State and Lifecycle?

A device's state is its specific operational status — like "In Use", "Available for use", "Delivered", or "In Repair". The lifecycle is the broader stage that groups related states together: Provisioning (device is being set up), Active (device is in use), or Inactive (device is no longer active). Filters let you work at either level.

Can I undo a state change?

Most state changes can be reversed. For example, if you mark a device as lost, you can later mark it as found. Velory keeps a full activity log of all changes on the Activity tab of each device.

What happens when I delete a device?

Deleting a device removes it from the hardware list. This action cannot be undone. If the device is currently assigned to an employee, you must unassign it first.

How do I track warranty expiration?

Use the Warranty filter to find devices with expiring or expired warranties. You can filter for "Expiring soon" to get ahead of upcoming expirations.
