How do I receive returned hardware and close an offboarding?
Collect returns is the physical end of a departure: each device the person hands back is received and filed somewhere. Then Complete offboarding closes the project.
Only items decided as a return appear as actionable here. Anything kept, transferred or disposed of shows read-only, so the step still reads as the full picture of what happened to their equipment.
Before you begin
The step opens once the returns are resolved — the employee has confirmed their hand-back, or you decided it directly in admin-handled mode. Before that it says it is available once they have handed their items back.
Receiving an item
Each card carries a badge:
| Badge | Meaning |
|---|---|
| Awaiting hand-back | The return is not resolved yet |
| To collect | Resolved. Waiting for you to receive it |
| Received | Done, with the destination it was filed to |
For an item to collect, check the Return destination and then Mark as returned. The destination shows the policy default when you have one, otherwise Unassigned, and an inline Change opens a picker.
You can file a returned device to:
- Employee — straight on to the next person
- Space — a room, a desk, a shared setup
- Storage — an inventory location
- Unassigned — back to the general pool
When your offboarding policy locks the return destination, the Change link is not offered and the item files to the configured place.
Completing
Complete offboarding needs every decision made and every return collected. Until both are true the button stays closed, and the step tells you what is outstanding — how many are still to receive, or how many actions are pending.
When it closes, the final row reports the project complete, and any book value you did not get back appears as an unrecovered figure. That figure is the honest record of the departure: devices written off as a keep, and anything never decided.
Good to know
Does completing set the employee to Inactive?
The closing step reads as though it does, but the status change is not part of closing the project. Velory ships a workflow template that marks a leaver Inactive at the end of their last day; whether that runs depends on whether your company has it enabled. Check the profile, and set the status from the employee list if it has not moved. Only Inactive ends their access.
A device came back broken
Receive it, then handle the condition on the asset itself in Asset management. The offboarding step records that you have it, not what state it is in.
Something never came back
You cannot force-complete past an uncollected return. Either the device does come back, or the disposition changes — switching it to a keep writes it off and lets the project close, with its book value in the unrecovered figure.
Can I receive several items at once?
No. Each item is received on its own, because each can be filed somewhere different.
Where did a received device go?
The card shows Received → destination once it is done, and the asset's own page in Asset management carries the assignment from then on.
