How do employee statuses work?
Every employee has one of four statuses. It is a label you set, not something Velory derives — and one of the four, Inactive, is the switch that ends a person's access.

Before you begin
You need Admin access to change a status. Managers can see statuses but not change them.
The four statuses
| Status | What it means | Typical use |
|---|---|---|
| Onboarding | The person is being set up | New hires who have not started, or are in their first days |
| Active | A current team member | Day-to-day |
| Offboarding | The person is leaving | Resignations and terminations, while assets are being recovered |
| Inactive | The person has left | Past employees whose offboarding is done |
How statuses map to the lifecycle
Each status corresponds to a lifecycle stage Velory uses internally:
| Status | Lifecycle stage |
|---|---|
| Onboarding | Provisioning |
| Active | Active |
| Offboarding | Inactive |
| Inactive | Archived |
The lifecycle stage is used for reporting. You work with statuses; the mapping happens on its own.
Change a status
One person
- Open their detail page.
- In the Employment Information section, change Status.
- Click Update.
Or use Update status in the row menu on the employee list, which skips the page entirely.
Several employees
- Go to Employees → Employees.
- Select them with the checkboxes.
- Choose Update status from the bar that appears.
- Pick the new status and confirm.
What the status does and does not do
It decides who can sign in. Only Inactive blocks access, and it blocks it completely — the person's session is refused everywhere in Velory. Onboarding, Active and Offboarding all allow sign-in. That is deliberate for Offboarding: a leaver has to be able to sign in and complete their own offboarding.
It filters the list. Each status has a preset in the Views selector on the employee list, and the Employee overview counts by status.
It does not run the flows. Setting someone to Offboarding does not start an offboarding, and setting someone to Inactive does not close one. Onboarding is the one exception, and only at the moment of creation: picking Onboarding while adding an employee also creates the onboarding project. See How do I start an onboarding? and How do I start an offboarding?.
It does not gate offboarding. Start offboarding is offered for anyone who is not already Inactive — an Onboarding hire who never turned up can be offboarded without being made Active first.
Good to know
Can I change a status back?
Yes. Nothing is one-way: Offboarding to Active, Inactive to Active, all fine. Every change is recorded on the person's Activity tab.
Will an offboarding set someone Inactive for me?
Not as part of closing the project. Velory ships a workflow template that marks a leaver Inactive at the end of their last day; whether it runs depends on whether your company has it enabled. If in doubt, set the status yourself — it is the switch that actually ends their access.
Can an integration own the status field?
No. Status stays editable in Velory however much of the record is synced — the fields an integration can lock are the descriptive ones like name, email, department and dates. So a status is always yours to set.
What happens to assigned assets when someone is offboarded?
The offboarding project asks for a decision on each one — returned, or kept and written off. Software, phone and AI seats are revoked on the last day. See How do I decide what happens to a leaver's assets?.
Can I filter the list by status?
Yes, from the Views selector next to the search field, or from the Status filter in the filter panel. There are no status tabs.
