How are deliveries received and turned into assets?
A device appears in Assets as soon as the retailer ships it, and becomes the person's to use once someone confirms it arrived. Usually that is the person it was for, from their own Overview. An admin can confirm on their behalf from the order.
What happens, step by step
- The retailer ships. Velory creates one hardware record per unit, in the state In Transit, assigned to the person it was ordered for. If the serial number matches a device you already have, that record is used instead of a new one.
- The delivery is reported. If the retailer or carrier reports it, the device moves to Delivered. Many retailers never do, and the device stays In Transit until step 3.
- Someone confirms it arrived. The device becomes In Use by the person it was for, or Available for Use when it has no person — ordered for a space or a storage location, for example. Its cost is recorded, and the request it came from is closed.
Confirm on someone's behalf
- Open the order from Orders.
- Select Mark received on the Received devices for this order? banner.
- Pick the units that arrived, and enter serial numbers or IMEIs where asked.
You can confirm any unit from the moment the order is with the retailer. Units for a failed dispatch cannot be confirmed — fix and retry the dispatch first.
The person themselves confirms from their Overview. See How do I confirm my hardware has arrived?.
Reminders
When a delivery goes quiet, Velory emails the person it was for on weekdays, asking them to confirm. By default the first reminder goes three days after shipping, and it stops after three rounds.
Good to know
I marked the device received on its asset page, but the order did not move
Mark as received on a device's own page updates the device only. Confirm from the order — or have the person confirm from their Overview — to move the order on.
Can a workflow mark an order received?
No. A workflow can move an order through most statuses, but confirming receipt is left to a person.
Who gets a device when the order named nobody?
The person the order was placed for. Most orders name nobody per unit, so this is the usual case.
