How do I add a software service?
Before you can assign software licenses to employees, you need to add the software service to Velory. You can search for it in the catalog or create it manually if it is not listed.
In this guide
Before you begin
You need Admin access to add software services.
Add software from the catalog
- Go to Assets → Software.
- Click Add Software in the top right.
- Type the name of the service you are looking for (e.g. "Slack", "GitHub", "Figma").
- Click the service from the search results.
- You will be taken to the service detail page to set up plans.
The catalog includes hundreds of common SaaS products with pre-filled details like vendor, category, and logo. Suggested entries appear before you type anything — common tools you have not added yet.
Each result carries a label telling you where it stands:
| Label | Meaning |
|---|---|
| Added | Already in your company. Click to open the existing service |
| Setup plans | Added, but has no plans yet — so no licences can be assigned |
| Add licenses | Added and has plans, ready for you to assign seats |
Create a service manually
If the service you need is not in the catalog:
- Click Add Software in the top right.
- Type the name of the service.
- Click Create "[name]" as new service, then Create & setup.
- You will be taken to the service detail page where you can fill in details and set up plans.
You do not need to get every detail right at this point. Name it, then refine the vendor, category and description on the Details tab afterwards.
What to do after adding a service
A service on its own cannot be assigned to anyone. Licences are only ever created through a plan, so add at least one plan next: go to the Plans tab and set the pricing tier, billing cycle and cost. See How do I create software plans?.
That is what the Setup plans label in the dialog is telling you about — a service sitting there with no plans is not yet usable.
Good to know
Can I add a service that is already in my company?
No. If a service has already been added to your company, it shows an "Added" badge in the search results. Click on it to go to the existing service.
What is the difference between a service and a license?
A service is the software product itself (e.g. Slack). A license is an individual seat or subscription under that service, assigned to a specific employee. You add the service first, then create licenses when you assign the software to employees.
Can I edit the service details later?
Yes. Open the service detail page and go to the Details tab to update the name, vendor, category, description, and other fields at any time.
A service appeared that nobody added. Where did it come from?
Probably SaaS Discovery. When somebody manages a discovered service, it is added to your catalogue automatically and marked Shadow IT in the discovery inbox — meaning the record exists because discovery found the tool in use, not because anyone chose to add it.
Licences created that way are stamped Added via: Discovery. See What is SaaS Discovery?.
Can I add the same service twice under different names?
You can, but avoid it — two records for one tool split your seat counts and costs. If duplicates have already crept in, SaaS Discovery's Merge services action folds name variants into one service and keeps the alternatives as aliases so they stop reappearing.
Who can manage a service once it is added?
Administrators, plus anyone you add as a Software Owner on the service's Details tab. Software owners can see and manage licences for their own services without needing full software access, and they receive the manual provisioning tasks for them.
