How do I use tags on employees?
Tags are labels for filtering. They affect nothing — no permissions, no policies, no structure — which is exactly what makes them useful for the classifications that do not deserve a group.
Before you begin
You need Admin access to assign a tag. Tags themselves are defined in Settings → Tags, and only tags configured to apply to employees are offered here. See How do I use tags?.
Assign tags
One person
- Go to Employees → Employees.
- Open the row menu on their name.
- Select Assign tags.
- Pick one or more.
Several employees
Select them with the checkboxes and choose Assign tags from the bar that appears. Large selections are applied in batches, and the result is reported when it finishes.
Filter by tag
The Tags filter on the employee list narrows to employees carrying a given tag, and combines with the other filters. Save the combination as a view if you use it often.
The Tags column shows them on the row.
Remove a tag
Open the person's detail page and edit the Tags field on the Details tab.
Good to know
Tags or groups?
Tags for labels you want to filter by — "Remote", "Contractor", "Needs laptop upgrade". Groups when something should follow from the membership: a policy, a role, a place in the structure.
Where do I create tags?
Settings → Tags. A tag declares what it applies to — employees, hardware, or both — and only the employee ones appear when you tag a person.
Why can I not tag someone?
Employee tags are stored against the person's linked asset record, and a person without one cannot be tagged. It is rare, and it usually means a record that was only partly created.
Can I import tags?
Yes, with a tags column on an employee import. Names have to match tags that already exist — matching ignores case, and anything unrecognised is skipped with a warning rather than created. See How do I import employees from a file?.
Can I see everyone with a tag?
Use the Tags filter and save it as a view. Settings → Tags also shows a count per tag.
