How do I manage the tag catalogue?
Settings → General → Tags is where tags are created, coloured and retired. Applying them happens on the records themselves — see How do I use tags on hardware? and How do I use tags on employees?.
A tag is a label you invent. "Loaner device", "Finance team", "Awaiting wipe" — whatever your company already says out loud but Velory has no field for.
Before you begin
You need Admin access.
Create a tag
- Go to Settings → General → Tags.
- Select Create Tag.
- Give it a name, a colour, and an optional description.
- Set Applies to — or leave it empty.
Applies to
This is the field worth understanding. It restricts which record types a tag can be put on:
Hardware · Employees · Software · Mobile Subscriptions
Leave it empty and the tag is allowed on all four.
Restricting is not about safety, it is about keeping the picker short. A tag that only ever makes sense on a laptop should not appear when someone is tagging an employee.
The Used column
The list shows how many records carry each tag. It is the fastest way to find tags nobody adopted — a tag used twice, six months after someone created it, is a tag to delete.
Good to know
What happens when I delete a tag?
It is removed from every record carrying it. The records themselves are untouched. Check the Used count first.
Can I rename a tag?
Yes, and it renames everywhere it is applied. Colour and description can be changed the same way. Renaming does not break anything pointed at the tag.
Tags or custom attributes?
A tag is a label a record either has or does not. A custom attribute is a field with a value — a type, a validation rule, and a place in your category tree.
"Loaner device" is a tag. "Purchase order number" is a custom attribute. See How do I define custom attributes?.
Can employees see the tags on their own records?
Nothing in the Personal workspace displays them today — tags appear in the admin views and the store. That is a description of how it renders now rather than a guarantee, so do not put anything in a tag name you would mind an employee reading.
