How do I assign or unassign a device?

Updated last monthSara AhlénAsset Management

You can assign a device to an employee, a shared space, or a storage location. Assigning a device updates its state automatically and keeps track of who has what.

Before you begin

You need Admin or Manager access to assign or unassign hardware.

Assign a device

  1. Go to Assets → Hardware.
  2. Click on a device to open its detail page.
  3. In the Details card, find the Assigned to field.
  4. Select who or where to assign the device:
Assign toWhat happens
EmployeeThe device state changes to In Use
Shared space (e.g. a meeting room or reception)The device state changes to In Use
Storage locationThe device state changes to Available for use

You can add an optional assignment note when making the change — useful for recording why a device was reassigned.

Unassign a device

  1. Open the device's detail page.
  2. Clear the Assigned to field.

The device state automatically changes to Available for use.

Bulk assignment

You can assign multiple devices at once from the hardware list:

  1. Select devices using the checkboxes in the table.
  2. Choose Assign to from the bulk action bar.
  3. Select an employee, space, or storage location.

Good to know

Which states prevent assignment?

Devices in Lost, Stolen, Removed, Recycled, Bought Out, and Cancelled states cannot be assigned. Change the state first (e.g. Mark as Found for a lost device).

Can I see the assignment history?

Yes. Go to the Activity tab on the device's detail page. Every assignment and unassignment is logged with a timestamp and the user who made the change.
