Where do I start with employees in Velory?

Updated 3 weeks agoSara AhlénEmployee Management

Velory keeps a record of everyone in your company and what they hold. It also runs the two moments where that record changes fastest: someone arriving, and someone leaving. This page is the map, with links to the detail.

The one thing worth knowing up front: a person's record and a person's arrival are two different things. Creating an employee gives you a record. Starting an onboarding gives you a project with steps, a deadline and equipment attached to it. You can have either without the other.

Before you begin

You need Admin access to add, invite or import employees. Managers can read the full employee list and the overview but cannot add, import or invite. Employees see only their own profile, in their Personal workspace.

The two places employees live

Employees in the navbar has two sub-pages:

EntryWhat it holds
OverviewAn Overview tab of headcount and cost figures, and a Transitions tab listing every onboarding and offboarding in flight
EmployeesThe roster — one row per person, with their status, department, role and assigned assets

Everything else about employees is reached from one of those two. Onboarding and offboarding projects have their own pages, but you arrive at them from the Transitions tab or from a banner on the person's profile — not from the sidebar.

The order to do things in

  1. Get your employees in. Add one person by hand, import a file, or connect an HR system so the roster maintains itself. See How do I add an employee manually?, How do I import employees from a file?.
  2. Decide what a new hire gets. An entitlement sets what each group receives — hardware, software, mobile and AI agents — and the onboarding policy sets the deadline and who confirms. Both live in Settings. See How do entitlements decide what people get? and How do I configure the onboarding policy?.
  3. Run an arrival. An onboarding can start from an HR event, a CSV column, or your own hand. See How does onboarding work in Velory?.
  4. Set the return rules. The offboarding policy decides the default disposition for each device and where returns are sent. See How do I configure offboarding policies?.

Steps 2 and 4 are configuration you do once. Steps 1 and 3 are the work.

Where the settings are, and why they are not here

Entitlements, policies, roles and permissions are all configured under Settings, and they are documented in Admin settings. This category covers running the flows those settings govern. The split is deliberate: you change a policy a few times a year and run an onboarding every time someone joins.

Good to know

Do I need an HR system?

No. A manual roster works, and so does a CSV. An HR integration earns its keep when you would otherwise be retyping arrivals and departures — it reports both, and a reported arrival lands on a confirmation step rather than acting on its own.

Can a manager onboard someone?

Not today. A manager can see the roster and the overview but holds none of the create, invite or import permissions, so starting an onboarding is an admin action.

What is the difference between an employee and a user?

An employee is the record of a person in your company. A login is separate: a person can exist in the roster for weeks with no account, and you decide when they get one — either as part of an onboarding, or with Invite to set password if they only need access to Velory and no equipment.

Which statuses matter?

Four: Onboarding, Active, Offboarding, Inactive. Only Inactive blocks sign-in. See How do employee statuses work?.
