How do I decide which software a group gets?
The Software and AI agents tabs on an entitlement list the plans a group gets, and decide two separate things about each one: whether a new hire receives it automatically, and whether anybody can ask for it later.
They are separate switches on purpose, and the combination is what people get wrong.
Before you begin
You need Admin access. You grant plans, not services, so each service needs its pricing set up first. See How do I create software plans?.
The two switches
| Column | What it means |
|---|---|
| Mandatory at onboarding | New hires get this plan automatically on day one |
| Can be requested | Employees can ask for this plan from their request menu |
Four combinations, and all four are reachable:
| Mandatory | Requestable | Result |
|---|---|---|
| On | On | Every new hire gets it, and existing employees can ask for it |
| On | Off | New hires get it. Nobody can request it afterwards |
| Off | On | Nobody gets it automatically; anybody in the group can ask |
| Off | Off | The plan is listed and nobody gets it, by either route |
That last row is the one to watch. A plan with both switches off sits in the entitlement looking configured and does nothing at all. It is not a bug — it is how you park a plan you are still deciding about — but it reads as active at a glance.
The other columns
Role is which role the employee gets on that plan. Default lets Velory use the plan's own role rather than pinning one.
Cost is the plan's listed price, taken from the service's plan setup. It is read-only here — change it on the service, not on the entitlement.
On an exception
Settings on an exception replace the baseline's for the same plan, rather than merging with them. If your baseline makes a plan requestable and an exception makes it mandatory, people in that exception get it automatically; they do not get both behaviours.
Good to know
What does the employee see?
The software they are being given, on their own onboarding step, with nothing to decide — the request is raised automatically when they finish. Anything merely requestable is not on that step at all; it is in their request menu afterwards.
Why is a plan missing from the picker?
Either the service has no plans set up, or every available plan is already in this entitlement. The empty state says which.
Does removing a plan take it off people who have it?
No. Removing it means future hires in this group will not get it as part of their standard package. Licences already assigned are untouched.
Can I set the cost here?
No. Cost comes from the plan, so an entitlement can never disagree with what the service says it charges.
