How do I auto-assign software to a group?

Updated 2 months agoSara AhlénAdmin settings

Link a software plan to a group and every member gets a licence on it. Add someone to the group, they get the licence. Remove them, it is revoked. Nobody assigns seats by hand.

Paired with a virtual group, this is how "everyone in Engineering has a Linear seat" becomes a rule rather than a chore.

Before you begin

You need Admin access, and the plans must exist first. A service with no plan cannot be auto-assigned, because the licence hangs off the plan and not the service. See How do I create software plans?.

  1. Open the group from Settings → General → Groups.
  2. Find the auto-assigned plans panel and select Add Plans.
  3. Search by plan or service name, select what you want, and confirm.

Every current member is given a licence, and every future member will be.

Remove unlinks the plan and unassigns the licences from group members. The confirmation says so.

One exception, and it is the useful one: an employee who is also in another group linked to the same plan keeps their licence. Velory checks for other coverage before revoking, so overlapping groups do not knock each other's seats out.

Timing

Not instant, and the delay differs by group kind:

Group kindWhen licences follow
StaticOn the membership change itself
VirtualWithin about five minutes

A virtual group has no join or leave event to react to — nobody adds anyone, the criteria match differently than they did before. A background job compares who matches now against who holds a licence and closes the gap. Five minutes is the normal case, not a fault.

Good to know

What if the plan runs out of seats?

The licence is still created. Velory records the seat you have granted; it does not enforce a seat cap on your behalf. Watch the plan's licence count against what you actually pay for. See How do I find and reclaim unused licences?.

Does this provision access at the vendor?

Only if the service is set up for it. Auto-assignment creates the licence record in Velory; whether that also creates the account in Slack or Linear depends on the service's Provisioning tab. See What is provisioning and deprovisioning?.

Can I auto-assign to a managed group?

Yes. A group synced from your HR system or directory works the same way — you cannot edit its membership, but you can point plans at it. That combination is often the cleanest: HR owns who is in the department, Velory owns what the department gets.

Someone left the group but kept the licence

Check whether they are in another group linked to the same plan. If they are, that is deliberate. If not, wait five minutes and look again before treating it as a fault.
